Lesson 14 — Intermediate
Communication Process
Management ka poora khel communication pe chalta hai — plan batana, motivate karna, control karna, sab ke sab baat-cheet se hi hota hai. Is lesson mein hum process ke steps, barriers, aur formal vs informal channels samjhenge.
Communication kya hai
WHAT
Communication ka matlab hai idea/information ko ek jagah se doosri jagah bhejna aur uska MEANING samajhna. Sirf bhejna kaafi nahi — receiver ne samajh liya tabhi communication hui. Complete cycle tab hota hai jab feedback mile.
WHEN
Jab bhi kisi ko kuch batana ho, instruct karna ho, persuade karna ho, ya sunna ho — har roz, har medium pe. Formal mail se lekar WhatsApp message tak.
WHERE
Office meeting, email, phone call, presentation, notice board, team WhatsApp group — sab communication channels hain. Grapevine (formal se bahar) bhi chalti rehti hai.
Ek line mein: Communication = sending + understanding. Aur iska golden rule — listening communication ka aadha hissa hai (70% time hum listen karte hain, aur sabse kam sikhate hain).
Communication process ke steps
1. SENDER : idea rakhta hai (manager ne target decide kiya)
2. ENCODING : idea ko message mein badalta (shabd, language chunna)
3. MESSAGE : jo bheja gaya (mail, bolna, gesture, report)
4. CHANNEL : medium (email, phone, meeting, WhatsApp)
5. RECEIVER : message mila (team member)
6. DECODING : message ko samjha (meaning nikala)
7. FEEDBACK : receiver ka response — ye STEP COMPLETE karta hai
+ NOISE : koi bhi disturbance (shor, language barrier,
wrong assumption, poor network) — process bigaad sakti hai
Barriers to communication
- Semantic/language barriers: technical jargon, alag boli, ambiguous words — "release" ka matlab engineer aur HR ke liye alag.
- Psychological barriers: darr, bias, lack of attention, ego, mistrust — stressed insaan message sahi nahi sunta.
- Organizational barriers: lambi hierarchy (message 5 log se guzarta hai → distort), policy clarity kam, status difference.
- Personal barriers: lack of confidence, poor listening, emotional reactions, closed attitude.
- Physical/mechanical barriers: shor, distance, network problem, wrong timing.
Formal vs Informal (Grapevine)
FORMAL (official structure se — organization chart ke lines)
Downward : boss se subordinate (orders, policy)
Upward : subordinate se boss (reports, suggestions)
Horizontal: same level (sales ↔ production)
Diagonal : different level + department (fast track)
+ clear, official, record rehta hai | - slow, rigid
INFORMAL (Grapevine — social relations se, OFFICIAL nahi)
Single strand : A→B→C→D (chain)
Gossip : sabko ek insaan sunata hai (1 banda anchor)
Probability : random — jo mile use bol diya
Cluster : selective logon ko (most common)
+ super fast, feedback, satisfaction | - rumours, distortion
Grapevine ko hari maar nahi sakti — formal se tez chalti hai. Best strategy: usmein sahi information daalo (rumours ko official updates se bhar do), warna wo hi narrative chalayega.
Exercise
Question: Communication process mein idea ko message mein badalne ko kya kehte hain? (encoding / decoding / feedback)
Question: Communication ko circular/complete banane wala step kaunsa hai? (feedback / channel / noise)
Question: Informal communication network ka do naam kya hai? (grapevine ya anya ek word)
Common mistakes
- Encoding aur decoding ulta bolna: Encoding = sender message banata hai, Decoding = receiver samajhta hai. Direction dhyan rakho — process order ka exam question hai.
- Formal aur informal channel confuse karna: Formal = official lines (mail, notice), Informal = grapevine (word of mouth). Ek record rakhta hai, doosra nahi — par tez dono mein grapevine hai.
- Communication ko sirf bolna samajhna: Bolna sirf ek step hai — sunna, samajhna aur feedback complete karte hain. Bina feedback ke information bheja gaya, communication nahi hui.
Ek Delhi office mein restructuring ki khabar official mail se pehle WhatsApp group mein fail gayi — grapevine ne formal chain ko beat kar diya:
Day 0 (11:40pm) : 2 managers ke beech casual talk
Day 1 (8:05am) : 3 groups mein "layoff ho raha hai!"
Day 1 (11am) : official clarification mail aaya (der se)
Lesson : grapevine fast hai — usse roz feed karo sahi info- CUET: communication steps + barriers — 1-2Q.
- UGC-NET: grapevine ke types (cluster = most common).
- MBA interview: "How do you handle miscommunication?" — barriers + fixes.
- Trap: "Grapevine is always harmful" — galat, fast feedback bhi deta hai; manage karna seekho.
