Lesson 7 — Intermediate
Organising & Departmentalisation
Plan ban gaya — ab sawaal hai kaun karega. Organising mein structure banta hai, kaam baanta jaata hai, aur authority assign hoti hai. Is lesson mein hum dekhenge organising ka process, departmentalisation ke 6 type, aur authority kahan concentrate honi chahiye.
Organising kya hai
WHAT
Organising ka matlab hai kaam ko tod kar departments/baanta, har post ke liye insaan chunna, aur unhein authority dena taki wo goals achieve kar sakein. Ye structure banata hai jo plan ko chalata hai.
WHEN
Nayi team banti hai, naya product aata hai, company expand karti hai, ya hierarchy badalti hai — tab organising hoti hai. har naye financial year mein structure review bhi hota hai.
WHERE
TCS ka har project team, Flipkart ke warehouses, hospital ke departments (OPD, ICU, pharmacy) — sab organising ke results hain.
Ek line mein: Organising = right job to right person with right authority. Iske baad hi staffing (log chunna) ka kaam asli shuru hota hai.
Organising ka process (4 steps)
1. IDENTIFICATION & DIVISION OF WORK
Total kaam ko chhote-chhote activities mein todo
(production, sales, finance, HR — alag alag)
2. DEPARTMENTALISATION (grouping)
Related activities ko group karke department banao
3. ASSIGNMENT OF DUTIES & AUTHORITY
Har post ka kaam + usko itni power do
4. COORDINATION / DEPARTMENTAL RELATIONSHIPS
departments ek doosre se kaise judein — reporting lines
Departmentalisation ke type
BY FUNCTION : production, marketing, finance, HR
(sabse common — expertise ke hisaab se)
Example: HUL mein Marketing department
BY PRODUCT : har product team apni (detergent, food, beauty)
Example: Tata ke alag business divisions
BY GEOGRAPHY : region ke hisaab se — North, South, East, West
Example: bank ke zonal offices (Lucknow zone)
BY PROCESS : production ke step ke hisaab se
Example: textile — spinning, weaving, finishing
BY CUSTOMER : customer group ke hisaab se
Example: retail — personal banking vs NRI banking
MATRIX : FUNCTION + PRODUCT dono (dual reporting)
Example: project team — functional boss + project boss
Kaunsa type chunein? Agar product variety chahiye toh product, agar region bada hai toh geography, aur jab project-based kaam ho toh matrix. Zyada tar companies function-based shuru karti hain, phir grow karke mix use karti hain.
Centralization vs Decentralization
- Centralization: decision authority upar (top) ke paas concentrate. Chhoti organization, crisis, aur standardisation chahiye toh ye behtar.
- Decentralization: authority neeche (lower levels) tak delegate. Badi organization, fast decisions, local knowledge chahiye toh ye behtar.
- Difference extreme mein nahi hai: 100% centralization nahi hoti (koi bhi organization), isliye dono ka balance chahiye — ye line exam mein aati hai.
- Fayol: centralization ek principle hai — par uska matlab extreme nahi, sahi balance (employees bhi involve hon).
- Benefits: decentralization se decisions fast, managers develop hote hain, top level ka burden kam.
Exercise
Question: Sales, production, finance — kis hisaab se departments bane hain? (function / product / geography)
Question: Fayol ki kaunsi chain batati hai top se bottom tak ki formal line of authority? (scalar chain / gang plank)
Question: Authority ko top level pe concentrate karna kya kehlata hai — centralization ya decentralization?
Common mistakes
- Departmentalisation aur delegation ko same samajhna: Departmentalisation = kaam ka grouping (structure). Delegation = authority ka transfer (process). Structure vs power ka farak hai.
- Matrix ko single reporting samajhna: Matrix mein DUAL reporting hai — functional boss + project boss. Yahi uski pehchaan hai, aur uski sabse badi problem bhi.
- Decentralization = no control: Decentralization ka matlab chaos nahi — sirf authority neeche jaati hai. Policies aur review upar se chalti rehti hai.
Amul jaisi cooperative mein organising saaf dikhti hai — milk collection (process), Gujarat/federation zones (geography), aur marketing/finance/function ke departments:
Function : Milk Procurement | Processing | Marketing | Accounts
Geography: village societies → district → state federation
Result : 36 lakh farmers ka milk poore India mein manage- CUET: departmentalisation ke types — 1-2Q (function/product/geography).
- UGC-NET: centralization vs decentralization — advantages list karo.
- MBA interview: "Matrix structure kyun use karte hain?" — dual reporting + flexibility.
- Trap: "Decentralization means no control" — galat, balance chahiye (Fayol principle).
Structure ban gaya. Agla lesson — Staffing — mein dekhenge structure mein log kaise aate hain (recruitment se promotion tak).
