Lesson 11 — Intermediate
Controlling & Techniques
Plan tha, kaam hua — ab check karo sahi hua ya nahi. Controlling ka matlab hai actual result ko standard se compare karke correction karna. Ye POSDC ka aakhri function hai, par planning ko meaningful banata hai.
Controlling kya hai
WHAT
Controlling ek process hai jisme pehle performance ke standards set kiye jaate hain, phir actual performance measure hoti hai, compare ki jaati hai, aur agar deviation ho toh corrective action liya jaata hai. Goal = things on track rakhna.
WHEN
Continuous chalta hai — daily sales, monthly targets, quarterly audit. Jab bhi deviation dikhe (target tha 100, aaya 82), controlling shuru ho jaati hai.
WHERE
Bank ka audit, factory ka quality check, tumhara monthly budget review, cricket ka DRS — sab controlling ke examples hain.
Controlling ka relation planning se bahut close hai: planning bataati hai kya hona chahiye, controlling bataati hai kya ho raha hai — aur gap close karti hai. Dono ek doosre ke bina adhoore hain.
Controlling process ke steps
1. ESTABLISHING STANDARDS : measurable target rakho
(e.g. 10% defect rate se kam, ₹5 lakh/month cost)
2. MEASURING ACTUAL PERFORMANCE : data banao (roz/hafte mahine)
3. COMPARING PERFORMANCE WITH STANDARDS : deviation nikalo
Actual 82 vs Standard 100 = 18 ka gap
4. ANALYSING DEVIATIONS : gap kyun? (uncontrollable factor ya
performance issue) — significant deviation pe hi action
5. CORRECTIVE ACTION : process badlo, training do, ya standard revise
(Feedback wapas planning mein jaata hai = cycle poora)
Controlling ke 3 types
FEEDFORWARD (pre-control) : kaam shuru hone SE PEHLE
Inputs/plan check karo — saman aane se pehle quality check,
budget approval, hiring criteria
CONCURRENT (steering) : kaam CHALTE WAQT
Real-time monitoring — supervisor assembly line dekh raha hai,
server dashboard, chef taste check karta hai
FEEDBACK (post-control) : kaam HONE KE BAAD
Final output check — audit, customer review, exam result,
monthly report, customer complaint analysis
Sabse behtar combination hai: feedforward se problem pehle roko, concurrent se chalte pakdo, feedback se seekho. Sirf feedback pe rely karna mehnga padta hai (nuksan ho chuka hota hai).
Controlling techniques
- Budgetary control: har cheez numbers mein — sales budget, cost budget, cash budget. Sabse common technique.
- Break-even analysis: kitna bechna padega ki na ghata na fayda — price decision ke liye.
- Ratio analysis: profitability (profit/sales), liquidity (current ratio), efficiency (stock turnover) — company ki health ke vitals.
- PERT / CPM: project ka time network — kaunsa kaam kitna, critical path kaunsa. Deadline control.
- Internal audit: accounts + process ka andar se check.
- Management by Exception: sirf major deviations handle karo, routine chalta rehne do.
- Human Resource Accounting: logon ki value bhi measure karo (cost + worth).
Exercise
Question: Controlling process ka PEHLA step kya hai? (setting standards / corrective action / measuring performance)
Question: Kaam chalte waqt real-time monitoring kaunsa control hai? (feedforward / concurrent / feedback)
Question: Planning aur controlling ka relation kaisa hai — same coin ke do side ya bilkul unrelated?
Common mistakes
- Controlling ko sirf audit samajhna: Audit sirf ek technique hai. Controlling poora cycle hai — standards → measure → compare → correct. Audit sirf step 2-3 ka tool hai.
- Types ka order ulta samajhna: Feedforward = pehle, Concurrent = chalte waqt, Feedback = baad mein. Naam mein hi hint hai (feed-forward = aage, feedback = peeche).
- Controlling = punishment: Controlling ka goal correction hai, daant nahi. Standards galat hue toh unhein bhi revise karte hain — wo bhi controlling ka part hai.
Lucknow ki ek coaching institute ne monthly control system lagaya — plan tha ₹3 lakh kharcha, actual aaya ₹3.6 lakh. Deviation analyze kiya:
Standard : marketing ₹50k, salaries ₹2 lakh, rent ₹50k
Actual : marketing ₹1.1 lakh (ads waste), baaki on track
Diagnose : 2 ad campaigns ka ROI zero
Action : campaigns band + next month standard revised (₹3.1L)- CUET: controlling steps + "first step of controlling" — standards.
- UGC-NET: feedforward vs feedback control — example wala question.
- MBA interview: planning-controlling relationship explain karo.
- Trap: "Feedforward happens after work" — galat, wo pehle hota hai (preventive).
Controlling clear. Agla lesson — Leadership Styles — mein dekhenge leader kis tarike se team chalata hai.
